Tourism & Economic Development Assistant

Are you organized, detail-oriented, multitasker who is passionate about supporting community growth? The Putnam County Chamber of Commerce is seeking a dynamic Administrative Assistant to support both the Vice President of Economic Development and the Vice President of Tourism. This is a unique opportunity to contribute to the economic vitality and tourism success of Putnam County.
 

General Administrative Support

 
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare correspondence, reports, and presentations.
  • Maintain organized filing systems (digital and physical).
  • Answer and direct phone calls, emails, and inquiries.
  • Assist with event logistics, set-up, and follow-up.
  • Track expenses and assist with budget preparation.
  • Handle confidential information with discretion.

Economic Development Support

 
  • Assist with research and data collection for business recruitment and retention.
  • Coordinate meetings with local businesses, government officials, and stakeholders.
  • Maintain databases of economic development contacts and projects.
  • Support grant applications and reporting.
  • Prepare materials for site visits, proposals, and presentations.
  • Maintain digital site listings 
  • Prepare RFP responses 
  • Set-up Taskforce meetings
  • Support advertising efforts
  • Plan economic development events 

Tourism Support

 
  • Event & Administrative Support: Assist in planning and executing tourism events, including volunteer coordination and parking logistics.
  • Event Grants Program Management:
  •   - Guide applicants through the grant process.
  •   - Coordinate scoring and review of applications.
  •   - Review reimbursement materials and post-event reports.
  •   - Ensure compliance with grant guidelines and timelines.
  • Public Meeting Preparation: Prepare meeting packets, set up rooms, take minutes.
  • Records Management: Maintain public records on BOCC and TDC websites.
  • Promotional Inventory Oversight: Track promotional items and coordinate vendor orders.
  • Grant Cycle Coordination: Manage the full TDC event grant cycle, including application processing, applicant education, compliance tracking, documentation, and reporting.

Qualifications

 
  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • 2+ years of administrative experience, preferably in a nonprofit, government, or tourism/economic development setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively.
  • Excellent time management and organizational skills.
  • Familiarity with social media and basic website content management is a plus.
